Time Allocations
When you book a venue you should be made aware that 9 times out of 10 , the room for the music in the evening is the same room for the meal during the day. So lets say the meal ends at 7pm for example and you want the music to start at say 7.30pm ........well this won't happen , because there is a "Turn Round" time for the room and that will usual be around 40min. It is then and then only that the band can set up and the band will take anything from 40 min to 1 hour to be ready . I always tell the bride and groom this and tell them for my "Sinatra Quartet" set up I need 45min as a min, and for the big band I need at least 1 hour. So whatever time you want the band to start , you must be aware of the set up times , and in most cases the venue in my experience don't even mention it.
This can create a problem if you can imagine .........if the bride and groom don't know ...........then there can be 1 hour adrift! So I always tell the bride & groom the exact details.
Paying for the Entertainment
(With regards to payment on an evening.) The bride and groom should appoint someone ...best man...........best maid.........hotel manager ..........someone should be appointed to handle the cash/cheques.This way at the end of the night when the band finish, no embarrassment is caused by the band or any other service providers trying to" find someone"!
Time for Speeches
...allocate a space in time for the speeches ......lets say for example 40min. Then the time should be monitored as people can go on and on and on. Those who don't ever speak at events can sometimes be really taken by the sound of there own voice and you can't get them to shut up! Funny I know, but when the speeches run over say from 40 min to 1hour 25min this can cause a big problem for the evening's entertainment who will be waiting to set up.
Music During the Meal
There should always be music played during the meal. Even if it is a c/d played very low . I offer in my services "Piano through dinner" as an interesting alternative , which really goes down very well. So you have the gentle and soft sound of the piano just in the background for the guests to listen to while having their meal. I call this "Subjective Music" .The alternative is to have the terrible sound of clanking plates and silence. Not good.
Contacts
Suppliers should always keep in contact with the bride and groom and especially near the big day . If only to say All is well and do you have any questions. This reassures the wedding party and puts them at ease.
Venue Booking
When booking a venue the bride and groom should be aware that Friday and Saturday is probably the most expensive times to book a venue but did you know there are discounts available for through the week and Sundays? Well there are .so ask .!It can be quite a difference.
Wedding Coordinators
A wedding coordinator can take care of your arrangements and take the load off all the set up. You tell them what you want, they arrange it! It's as simple as that .............and for that you pay them a fee.
Now if you can't afford that then each of the venues has an in house wedding coordinator, so ask to speak to them , tell them your needs and you find that you can have the use of the wedding coordinator as part of the deal with the venue...........no extra cost.!!
